Pack 681 Planning Meeting - Thursday, June 4 - Adults Please Attend!!

What:  Planning Meeting

Where:  Knecht Gym (St. James School) Conference Room

When:  Thursday, June 4, 7:30pm

 

  1. We will elect our new committee members and officers for next year.  Please sign up for a position!!  The openings are (descriptions of duties are below):
    1. Committee Chair
    2. Assistant Cubmaster
    3. Secretary
    4. Outdoor Activities
    5. Communications
    6. Fundraising
    7. Publicity
    8. Refreshments
  2. We will plan our program for next year (campouts, derbies, pack meetings, budget) and finalize the calendar
  3. This is a meeting for parents, den leaders, committee members (not a pack meeting for scouts).  Refreshments will be served. 

We will hold elections first, so if you want to just come for the first 15 minutes to vote, that's fine. 

 

Items that we cover in this meeting are:

  1. Elections of new leaders
  2. Review of parent feedback from this year's program
  3. Confirm pack events for 2009 – 2010
  4. Confirm event leaders
  5. Training and VIRTUS Requirements for 2009 – 2010
  6. Summer to-do's

Descriptions of Open Pack Positions:

 

Committee Chair

The committee chair has the overall responsibility for the pack program.  The committee chair works with the committee members, the Cubmaster, Assistant Cubmaster, and den leaders to develop and execute the pack program.  The committee chair leads an annual planning meeting and monthly committee meetings to plan and manage program activities.  The committee chair follows up with individual activity organizers to ensure that there is early and clear communication regarding the activity and a smooth execution of the activity.  The committee chair is the primary point of contact for the pack with St. James Parish.  The committee chair lines up space in Heller Hall and the church for the program events.  Space requests are submitted and approved in July of each year.

 

Assistant Cubmaster

The Assistant Cubmaster backs up the Cubmaster and fills in for the Cubmaster in the case of the Cubmaster's absence.  The Assistant Cubmaster assists with organizing and running pack meetings and other pack activities.  It is preferable if the Assistant Cubmaster is Baloo trained. 

  

Secretary

The secretary attends the committee meetings, takes notes and sends them out to the den leaders and committee members.  The secretary assists with other administrative tasks, such as updating and distributing the leader contact list, signing up for the Memorial Day Parade, securing reservations at Cherry Hill Park, and updating the group mailing list in the pack email account. 

 

Outdoor Activity Chair

The outdoor activity chair organizes and manages pack campouts and hikes.  He builds a strong outdoor culture in the pack.  For example, he could organize hiking clinics, hiking staff building, outdoor cooking demonstrations, etc.  This can include winter activities, such as an outdoor Klondike Derby.  The outdoor activity chair keeps the pack aware of outdoor activities available to the pack, dens and families, such as the Parent/Son weekends at Camp Snyder.  The Outdoor Activity Chair should have the proper relevant training, such as Baloo training,  Trek Safely training, and Hazardous Weather training. 

 

Communications

The communications chair manages the pack email list and sends group emails and reminder emails for all pack events.  The communications chair solicits flyers from organizers of the various pack events and distributes them with pack communications. The communications chair also manages the pack website and newsletter.  The newsletter is distributed via email or hard copy at pack events.  The communications chair role is critical, since timely and clear communications make the pack run smoothly.  The communications chair must stay up-to-date daily on all pack activities. 

 

Fundraising

The fundraising chair runs the fall bake sale and any other fundraising efforts. 

 

Publicity

The publicity chair handles communication between the pack and the community.  They advertise for Back to Scouting Night, place announcements in the St James Church bulletin, write articles for SCAN, and request approval for a bulletin board in Heller Hall to post pack pictures and updates.  The publicity chair provides updates to the press on Pack 681 activities, such as Scouting for Food. 

 

Refreshments

A favorite position for both scouts and adults!  The refreshments chair coordinates refreshments for pack activities, such as the Scout Mass, the few pack meetings where refreshments are served, and s'mores for campouts and campfires.
